Job Description
Receptionist/Executive Assistant will support the executive staff and help improve productivity. The Receptionist/Executive Assistant will be responsible for running business errands, maintaining ongoing business files, setting up the company conference room for important meetings and assisting with creating outgoing correspondence. as well as general office management tasks.
The ability to multi-task, while maintaining complex schedules is essential in this position.
The ideal candidate for this position is a self-starter who can work well in a fast-paced environment, has excellent communication and multitasking skills, a positive attitude and a strong work ethic and is organized.
This role is a part-time position and may have occasional weekend work.

Primary Duties
• Manage workflow by ensuring that deadlines are met and work is completed correctly
• Implement and monitor programs as directed by management, and see the programs through to completion
• Generate memos, emails, meeting notes and reports upon request
• Respond to questions and requests for information
• Answer incoming calls and assume other receptionist duties when needed
• Schedule travel arrangements for senior executives as well as clients, when applicable
• Greet clients and vendors upon arrival and direct them to appropriate offices
• Maintain office supply inventory
• Retrieve documents and files when requested
• Read and route incoming mail and process outgoing mail
• Create, edit, and update spreadsheets
• Greet clients as soon as they arrive and connect them with the appropriate party
• Answer the phone in a timely manner and direct calls to the correct offices
• Create and manage both digital and hard copy filing systems
• Make travel arrangements, schedule meetings and manage appointments based on CEO itinerary
• Maintain all hard copy and digital records for ongoing executive projects
• Assist in creating and distributing meeting minutes for the monthly manager’s meetings and other executive meetings
• Deliver and pick up business related correspondence in the immediate geographic area
• Prepare the conference room for presentations and meetings

Required Education, Certifications/Licenses
• Valid driver’s license with clean driving record
• Bachelor’s degree preferred, but high school diploma accepted with some college or equivalent experience

Required Experience
2+ years experience as a Receptionist or Administrative Assistant
